Administrative Assistant - Post Construction Coordinator
Job-Type: Part-Time (In-person), Independent Contractor
Compensation: Negotiable depending on experience

Responsibilities:
The Administrative Assistant - Post Completion Coordinator will work closely with our Project Manager in upholding OHW standards for our completed homes that are on the market or soon to be listed. This will involve scheduling staging, photos, routine lawn maintenance, and security, plus general administrative tasks to help us run more efficiently. This position requires a personable, detail-oriented, self-motivated individual with excellent organizational and communication skills who will hit the ground running and succeed under pressure. The Administrative Assistant - Post Completion Coordinator will provide exceptional service to the team through the timely processing of task requests both proactively and reactively through effective and proactive communication with subcontractors and internal staff. Exhibit full ownership for problem resolution and follow-up.
Qualifications:

Must have a working knowledge of Microsoft Excel, Word, Outlook, OneDrive, Docusign

Co-Construct experience preferred

Ability to adapt to situations whether that is dealing with a potentially stubborn subcontractor or being able to easily improve and change business processes within the company

Strong verbal and written communication skills

Excellent prioritization skills
-
Must be respectful, considerate, and team-oriented while building strong professional relationships amongst other team members in the company
The essential functions include, but are not limited to the following:

Office supply needs
-
Manage warranty tasks
-
Schedule staging
-
Schedule photos
-
Schedule routine lawn maintenance and spiff cleans

Obtain HES & EPS for listing
-
Obtain insurance for staging
-
Set up security system
-
Do site visits 2x week to ensure listing looks presentable

POST SALE TASKS

Schedule de-staging

Schedule final yard maintenance and clean

Create warranty book

Turn utilities off

Cancel insurance

Remove marketing & lock boxes

This position requires a personable, self-motivated individual with excellent organizational and communication skills who will hit the ground running and succeed under pressure. The Administrative Assistant – Operations will provide exceptional service to subcontractors and the team through the timely processing of task requests both proactively and reactively through effective and proactive communication with internal staff. Schedule + plan subcontractor meetings + onboarding new subcontractors

Assist with check run + maintaining Co-Construct + project accounting

Lien release follow-up/tracking

Hold the hands of the subs having issues with Co-Construct
